SabaiHR will include a location-control layer for businesses that need more than a basic clock-in button. Employees will be able to check in from approved locations, scan QR codes at designated points, and trigger alerts when geofence rules are broken. Businesses will also be able to pause geofence monitoring during preset lunch periods and automatically resume it when lunch ends, helping managers track late or tardy returns without interrupting approved break time.

Planned use case: Know when an employee checks in at the correct location, moves outside an assigned work area, leaves during active monitoring time, or returns late from lunch after geofence tracking automatically resumes.

GPS Check-In

Capture location, time, device details, IP address, and GPS accuracy when employees clock in or out from a phone or browser.

QR Location Points

Create QR codes for approved entrances, job sites, warehouses, branches, floors, or departments so employees can verify where they are checking in.

Geofence Rules

Assign employees or teams to approved geographic areas and detect when they check in outside the allowed radius, leave a designated zone, or fail to return after an approved break.

Triggered Notifications

Notify managers, HR, or admins when a geofence is triggered, a QR scan is invalid, an employee leaves the assigned area, or a check-in needs review.

Lunch Auto-Pause

Set lunch windows by branch, team, or shift so geofence alerts pause during approved break time and automatically reactivate when lunch ends.

Return-from-Lunch Tracking

When lunch ends, SabaiHR can resume geofence monitoring and flag employees who return late, stay outside the work zone, or need manager review.

How the workflow will work

  1. Admin creates a branch, site, or work zone.
  2. Admin sets the allowed GPS radius, optional QR check-in code, lunch window, and alert recipients.
  3. Employees check in from mobile web or PWA using GPS and/or QR scan.
  4. SabaiHR records time, location, QR point, accuracy, and device metadata.
  5. During preset lunch hours, geofence alerts can pause automatically so approved breaks do not create false exceptions.
  6. When lunch ends, geofence monitoring resumes and late/tardy returns can trigger a manager notification.
  7. If the employee leaves the assigned zone during active monitoring, the exception is logged for approval, investigation, or payroll review.
